Job DescriptionAs a Recruitment Systems Specialist, you will provide advanced administrative and coordination support to the Recruitment and HR teams. This position plays a key role in supporting high-volume, end-to-end recruitment activities for projects, shutdowns, and turnarounds, ensuring operational excellence and compliance throughout all hiring processes. Ensures consistent data integrity within the applicant tracking system (ATS), contributes to process improvements, and supports the development of recruitment tools, templates, and reports to enhance overall efficiency.
This role requires exceptional organizational skills, attention to detail, and the ability to manage competing priorities in a fast-paced environment while maintaining a professional and positive candidate and client experience.
What would you be doing?
- Provide senior-level administrative leadership across the full recruitment lifecycle, supporting corporate, field, project, and turnaround hiring.
- Act as the ATS subject matter expert, ensuring data accuracy, compliance, and integrity of recruitment processes and records.
- Support recruiters and hiring managers with interview preparation, documentation, and offer administration to enable efficient hiring.
- Manage recruitment communications, job postings, social media presence, and candidate experience across platforms.
- Oversee recruitment reporting, vendor coordination, events, training, and continuous improvement of systems, processes, and team capability.

- Experience with ATS/HRIS systems and solid understanding of recruitment processes, compliance, and reporting.
- Post-secondary education in HR, Business, or related field; CPHR designation considered an asset.
- 5–7 years of recruitment/HR administration experience, preferably in high-volume or industrial/energy sector hiring, with a focus on process improvement.
