We are looking for an Administrative Assistant to be our key point of contact for all things Applied Technology and Innovation (ATI), someone with a can-do, proactive and professional approach to the varied activities involved. You will be a driver of continuous improvement, empowered to make changes to deliver efficiencies in how we tackle administrative and financial tasks, and ensure the smooth running of activities and events. You will be maintaining strong relationships with key internal and external stakeholders, reinforcing connectivity across the administrative team within R&D & the wider business. While the role is based at our PPTC pilot facility in Florenceville, you will step in to support the broader team globally.
How You'll Add Value:• Executive assistant duties, including calendar management, setting up meetings, booking travel and creating travel and expense reports• Leading and managing agenda for management meetings and townhalls• Managing building security cards • Office supplies management • Logistics for visits and tours at various facilities• General administration for the ATI team including organizing meetings and events on and off-site• Execution and management of orders, purchases and transactions for ATI• Orders, POs, Invoices and goods receipt along with vendor setup• Assist team on management of budget and creating single source of truth for spend against ATI annual budget.• Continuous improvement and adjustments to increase efficiency (eg digitization)
About You:• 2 - 5+ years relevant administrative experience would be preferred • Experience in Microsoft 365, SAP, concur and other applicable systems and software• Experience running financial reports along with presenting to key stakeholders• Experience working in a global organization would be an asset • Experience working with R&D teams or other similar technical colleagues• Ability to communicate effectively, verbally and written, with diverse audiences ranging from highly scientific/technical to non-technical personnel and customers• Financial acumen related to creating reports and reconciling transactional activities of a team• Demonstrated track record of supporting a team• Decision-making skills, with the ability to move administrative tasks forward when there is ambiguity• Professional demeanor and comfortable to be the 1st point of contact for a team, acting as linker and enabler of connectivity between multiple parties• Experience in managing external relationships with vendors, suppliers and partners• Curiosity to understand the relationship of the work conducted and the linkage to team plans and strategies• Growth mindset, tenacious in approaching challenges, problem-solving and finding efficiencies• Flexible working may be required occasionally, & with notice, to support the global nature of the work (e.g. late/early)
