Our team and what we’ll accomplish together

The Administration team is here to support and empower everyone in our organization to do their best work. As an Administrative Coordinator, you'll be a trusted team member who helps keep our office running smoothly, supports our leadership and team members with the resources and information they need, and maintains the systems that help us stay connected and organized. You'll take pride in being the helpful person everyone can count on—someone who listens, anticipates needs, and makes things easier for those around you.

What you’ll do

  • Manage team member onboarding and lifecycle administration, including system access setup, communications tools, team introductions, and tracking of terminations and leaves of absence
  • Administer phone systems and mobile device management, including device procurement, plan updates, number porting, and technical support for connectivity needs
  • Maintain accurate team records and information systems including master personnel lists, contact information, and organizational data to ensure accessibility and accuracy
  • Coordinate team engagement and recognition activities including monthly celebrations, team photos, and recognition programs that strengthen team culture and foster belonging
  • Support daily office operations including mail management, supply ordering, scheduling, and ad-hoc administrative requests that enable the team to focus on core work.

What you bring

  • 3 to 5 years of professional experience in office administration, operations, or a similar administrative support role
  • Advanced proficiency in Microsoft Office Suite and Google Workspace (Drive, Sheets, Docs)
  • Exceptional verbal and written skills with the ability to liaise effectively with team members at all levels
  • A proven ability to manage multiple recurring tasks and priorities while remaining flexible and responsive for ad-hoc requests
  • Meticulous attention to detail with a track record of maintaining accuracy in tracking dates, information, and sensitive data while upholding confidentiality
  • A positive, collaborative team-player mentality with a supportive, 'there is always a way' approach to problem-solving
  • Willingness and ability to quickly learn and master new systems and processes, including phone and administrative platforms.

Great-to-Haves

  • Experience with phone systems such as Avaya or similar platforms
  • Experience coordinating team events or engagement activities
  • Familiarity with human resources processes or employee onboarding procedures.
