As a Business Operations Associate/Manager at Shakudo, you will be integral to our operations team, engaging in diverse tasks that drive client success. You will support internal team coordination, gather and analyze data, manage client relationships, and develop actionable recommendations. You will also present findings to client management and work alongside client teams to implement strategies. The ideal candidate is a versatile, proactive problem solver who thrives in a dynamic environment and is eager to tackle both detailed tasks and large-scale challenges. Your ability to adapt, wear multiple hats, and contribute to a collaborative team will be essential to our success.
What You'll Do
- Drive Business Operations: Support core business activities across departments to ensure operational efficiency and alignment. Develop, document, and improve internal processes across business functions. Coordinate cross-functional initiatives and special projects that align with company priorities.
- Lead Financial Operations: Own and manage end-to-end billing workflows, including generating and sending client invoices, tracking usage-based metrics, and reconciling payments. Work closely with Customer Success, Engineering, and Finance to ensure billing accuracy and client contract alignment. Monitor and follow up on outstanding payments, coordinate billing cycles, and maintain clear records of invoicing activity. Support Accounts Receivable (AR) processes by tracking incoming payments and addressing discrepancies or delays. Support Accounts Payable (AP) processes, including vendor invoice tracking, approvals, and timely disbursements.
- HR & People Operations: Oversee HR administrative tasks, including onboarding, offboarding, policy updates, and team communications. Maintain employee records, systems, and compliance documentation. Assist in developing internal initiatives to support engagement, retention, and performance.
- Strategic Projects: Partner with leadership on ad-hoc strategy initiatives that drive growth, efficiency, or scalability. Gather and analyze data to develop recommendations and present insights to key stakeholders.
- Compliance & Risk Management: Assist with maintaining compliance frameworks including SOC 2, data privacy, and internal audits. Help prepare for and coordinate with external audit partners, and implement corrective actions as needed.
- Administrative & General Operations: Manage calendars, internal tooling, team resources, and general admin to ensure smooth daily operations. Jump into any area of the business that requires resourcing or rapid problem-solving.
Requirements
- 3+ years of experience in business operations, billing/finance, or similar cross-functional roles.
- Experience working with AP/AR processes and billing systems (e.g., Stripe,or similar).
- Excellent communication, problem-solving, and organizational skills.
- Comfortable with ambiguity and a fast-paced, dynamic environment.
- Strong attention to detail, ownership mentality, and ability to execute autonomously.
- Bachelor’s degree in Business, Math, Operations, or a related field required.
- Startup or B2B SaaS experience is a plus.
- Must be available to work full-time from our Toronto office.
