At Velixo, we pride ourselves on delivering user-friendly, efficient solutions loved by customers, earning top ratings on marketplaces and G2.

About the Role

We are looking for a highly analytical and collaborative Business Systems Analyst to serve as the critical link between our business teams and IT. In this role, you will translate business needs into clear, well-documented solutions — whether that means evaluating off-the-shelf software, designing custom-built internal tools from scratch, or improving existing workflows and systems.

You will own the full solution design lifecycle for internal tooling: gathering requirements, creating wireframes and prototypes, writing functional specifications for development handoff, and validating the final product through structured testing. You will work closely with teams across Sales, RevOps, Support, Services, and beyond to ensure the tools and systems we build are practical, scalable, and adopted effectively.

This is a fully remote role in Canada. Candidates based in the Montreal area are preferred.

What You Will Do

Solution Design & Custom Development Support

  • Lead the design of custom internal tools from concept to handoff — including requirements gathering, solution scoping, and iterative prototyping.
  • Create wireframes and low-to-mid fidelity mockups using tools such as Figma or Balsamiq to validate concepts with business stakeholders before development begins.
  • Write clear, structured functional specifications and PRDs that enable the development team to build with minimal ambiguity.
  • Design process flows and system interaction diagrams to document how tools and workflows connect across systems and teams.
  • Execute and coordinate user acceptance testing (UAT) for custom-built solutions, documenting results, managing defect tracking, and ensuring sign-off from business owners.

Business Analysis & Systems

  • Act as the primary liaison between business users and IT, ensuring clear communication and alignment on priorities and requirements.
  • Analyze operational needs and recommend solutions — whether off-the-shelf, configurable, or custom-built — based on fit with our tech stack, team workflows, and strategic goals.
  • Evaluate new software tools and technologies, conducting structured assessments against business and technical criteria.
  • Collaborate with cross-functional teams on system implementations, integrations, and process improvements.
  • Manage vendor relationships, including coordinating issue reporting, tracking resolution progress, and maintaining accountability.
  • Consolidate and interpret data from multiple business systems (CRM, ERP, support tools, etc.) to support operational decisions and stakeholder reporting.
  • Create and maintain high-quality documentation including functional requirements, user stories, process flows, and system maps.
What We're Looking For
  • Bachelor's degree in a business or STEM-related field.
  • Minimum of 5 years' experience as a Business Analyst or Systems Analyst, ideally in an internal IT or business operations context.
  • Demonstrated experience designing solutions from scratch — including wireframes, prototypes, and functional specs — not just configuring existing tools.
  • Hands-on experience with wireframing or mockup tools (Figma, Balsamiq, or similar).
  • Strong ability to write developer-ready functional specifications and PRDs.
  • Experience leading or coordinating UAT cycles, including test case design and defect management.
  • Comfortable creating process flow and system design diagrams (Lucidchart, Miro, Visio, or similar).
  • Proven ability to translate ambiguous business needs into structured, actionable requirements.
  • Experience collaborating with Engineering or development teams in an agile or iterative environment.
  • Ability to extract and consolidate data from multiple systems to support reporting and operational visibility needs.
  • Excellent communication skills in English, with the ability to engage effectively with both technical and non-technical stakeholders at all levels.
  • Experience managing vendor relationships and coordinating issue resolution.
