About the role

What You’ll Do Here: 

  • Provide comprehensive support to the CEO, including sophisticated calendar management to promote maximum productivity 

  • Prioritize and respond to external and internal enquiries using tact, diplomacy and sound judgement 

  • Organize complex international travel arrangements resolving any conflicts promptly to ensure flawless itineraries including; flights, visas, accommodations, ground transportation, reservations and meals etc. 

  • Handle correspondence and follow up as required, with considerations to priorities and timelines 

  • Demonstrate exemplary ambassadorship of company values in all interactions with internal and external stakeholders 

  • Ensure briefings and materials are provided in advance for adequate preparation 

  • Collaborate effectively with other Executive Assistants to ensure consistency in processes  

  • Organize and coordinate meetings and events, including invitations, facilities, equipment, materials and follow-up on action items. Ensure seamless planning and execution of logistics  

  • Actively participate in special projects, support with coordination, scheduling and action items for various initiatives as assigned 

  • Run confidential reports and create professional PowerPoint presentations, Word documents, and Excel spreadsheets 

  • Provide personal assistance for the CEO as required  

  • Perform other duties as assigned 

 

What You Bring to the Table: 
The ideal candidate is a team player who excels at planning, problem-solving and anticipating needs. This is a dynamic and high-profile role suited for a detail-oriented, agile and organized professional with proven expertise in handling sensitive and confidential matters.   

  • A minimum of 5 years of experience as an Executive Assistant or relevant role supporting senior leaders, preferably in a publicly traded company. 

  • Bachelor's degree in administration or equivalent. 

  • Asset: Proficiency in both English and French (written and verbal) is preferred.  

  • Excellent communication skills, both written and verbal, with the ability to orchestrate multiple activities simultaneously and with accuracy. 

  • High degree of professionalism in manner, tone, and attire. Strong business acumen and the ability to build trusting relationships quickly. 

  • Superior organization skills with the ability to deliver results in a fast-paced, dynamic environment. Ability to work effectively under pressure.  

  • Strong judgment, resourcefulness, and the ability to work autonomously. 

  • Ability to handle highly confidential and sensitive information with discretion. 

  • Proficiency in MS Office (Word, Excel, PowerPoint), SharePoint, and virtual collaboration tools (MS Teams, Zoom) is essential. 

  • Flexible with work schedule arrangements.
