Purpose of the Role:

The Executive Assistant, Private Wealth is responsible for providing best-in-class, professional administrative support to our Vice Chair, UHNW. This role supports a highly visible executive working closely with some of the wealthiest families across Canada.  Acting as the right hand to the Vice Chair, this role is responsible for coordinating complex travel, events, meetings and high-touch client interactions.  

Core Responsibilities:

Executive Support 

  • Comprehensive inbox management and correspondence triage 
  • Complex calendar management 
  • Travel planning and coordination (hotels, flights, executive preferences, loyalty programs, etc) 
  • Expense reconciliation and reporting 
  • Excel-based tracking and reporting (budgets, expenses, etc) 
  • Supporting business social media accounts 
  • PowerPoint presentation and information package creation 

Client Experience and Support  

  • Serve as first point of contact for clients, prospects, and stakeholders 
  • High-touch correspondence with ultra-high net worth clients and centers of influence 
  • Professional email and phone outreach 
  • Lead tracking and pipeline management in Salesforce 
  • Event coordination with Marketing team 
  • Meeting logistics and catering support 
  • Attendance at select client events as needed 
  • Front desk and general office support as needed 
Required Skills & Qualifications:
  • A minimum of 5 years of related work experience preferably with exposure to the financial planning and investment services industries.   
  • Completion of a bachelors degree and financial industry related courses are an asset – CIM, CFP, LLQP, etc.   
  • Excellent organizational skills and excellent written and oral communication skills.   
  • Excellent proficiency in Microsoft Office (Outlook, Powerpoint, Word and Excel) and strong understanding of modern tools and technology.    
  • Project management and coordination experience.  
  • Experience in a high performing client service capacity.   
  • Must be legally eligible to work in Canada for any employer  
Compensation & Benefits Package:

This position comes with a base salary range of $80,000- $90,000 plus a competitive performance bonus, RRSP contribution and participation in our profit-sharing program. Base salary will be commensurate with experience, skills, and qualifications.
