Veta Virtual is hiring an Executive Assistant & Revenue Operations Specialist for a client in the Roofing and Construction industry. This is a high-ownership hybrid role for someone who thrives in two worlds simultaneously — serving as the executive's operational right hand while owning the full accounts receivable and revenue cycle from quote to cash.
🔑 Your Role:
As an Executive Assistant & Revenue Operations Specialist, you will support the company's leadership directly — capturing action items, driving accountability across teams, managing billing and collections, and ensuring nothing falls through the cracks on either the operational or financial side. You will be the connective tissue between field operations and the office — keeping projects, people, and payments on track simultaneously. Your day-to-day will involve:
- Attending executive meetings and job site discussions — capturing action items, deadlines, and responsibilities, and following up relentlessly to ensure every commitment is completed on time.
- Proactively chasing internal teams and external stakeholders — holding project managers, vendors, and subcontractors accountable to deadlines on behalf of the executive.
- Managing the executive's email and calendar — ensuring efficient scheduling across client meetings, estimates, and project timelines with zero gaps.
- Leading end-to-end revenue operations — generating invoices, tracking receivables, reconciling discrepancies, and ensuring timely collections across all active projects.
- Managing QuickBooks Online — reviewing invoice accuracy, resolving billing discrepancies, and supporting revenue reporting in collaboration with the accounting team.
- Communicating professionally with clients on billing, payment status, and collections — pushing back assertively when needed.
✅ What You'll Need:
- 2+ years of combined executive assistant, operations, and AR or revenue operations experience — construction or home services background is a strong plus.
- Proven experience managing the full revenue cycle — quotes, invoices, collections, and reconciliation.
- Advanced QuickBooks Online proficiency — you know the platform inside and out.
- Exceptional organizational and follow-up skills — you track dozens of moving parts and never miss a deadline or payment.
- Proactive, ownership-driven mindset — you anticipate needs, act without being asked, and hold yourself and others accountable.
- Excellent written and verbal English — professional in every interaction whether chasing a payment or coordinating a project follow-up.
- Bonus: roofing or construction experience; Slack, Google Sheets, Bill.com, or ClickUp familiarity; bilingual English/Spanish.
- To be considered for this role, you must be currently based in Latin America (LATAM) or Europe.
