We are seeking a dynamic, self-motivated Executive Assistant (EA) who will play a crucial role in supporting our CEO and additional C-Suite executives. This role requires a highly organized, detail-oriented, and proactive individual who can manage multiple tasks and priorities with ease. As the EA you will act as a key liaison between the CEO and internal and external stakeholders, providing high-level administrative support and contributing to the overall success of Benevity.
What you’ll do:
- Manage the CEO’s calendar with a high level of organization, prioritize requests, resolve scheduling conflicts, and make recommendations to ensure smooth daily operations.
- Oversee all logistical aspects of meetings and events, including scheduling, drafting agendas, and preparing presentation materials.
- Perform a wide range of administrative duties to support the CEO, such as assisting with special projects, preparing reports and presentations, managing correspondence, maintaining contact lists, arranging travel, and processing expense reports.
- Oversee projects from start to finish, including weekly tasks, new initiatives, proposals and presentations.
- Serve as the CEO's primary point of contact for internal and external stakeholders on confidential and critical matters, exercising discretion.
- Gather and prepare Board and executive materials and presentations.
- Expertly manage schedules using Mac and Google Suite, handling multiple calendars and last-minute changes
- Coordinating and confirming travel arrangements
- Complete monthly expense reports and corporate Visa reconciliations
- Tackle ad-hoc tasks related to business needs and executive team responsibilities
- Coordinate work and be an advocate for our EA’s with the executive team
What you’ll bring:
- 7+ years experience supporting C-suite executives
- Experience supporting multiple executives simultaneously
- Experience working and managing board materials and scheduling
- Proactive, responsive, and initiative-taking approach to anticipate executive needs
- High attention to detail in all tasks, from meeting invites to reports
- Adaptable and open to feedback, with strong problem-solving skills
- Excellent written and verbal communication abilities
- Proactive and solution-oriented mindset
- A passion for working in a fast-paced, dynamic environment
- Proficiency in Mac, Microsoft Suite, Google Suite, Google Drive, and Slack is beneficial
