What you do as the Executive Operations Associate at Liferaft

This is a unique early-career role working directly with the CEO and Senior Leadership Team (SLT) of a remote-first, growth-stage SaaS company operating within a global organization. While our headquarters are in Halifax, NS, preference will be given to candidates based in Toronto, ON. The role includes some travel, such as quarterly SLT meetings, company events, and conferences, with the potential for part-time in-office work in the future.

You’ll gain exposure to how a leadership team and business operates, across strategy, execution, communication, and decision-making, while playing a critical role in keeping that team aligned, organized, and effective.

In addition to supporting the CEO, this role helps reduce day-to-day coordination and operational burden across the broader leadership team, ensuring leaders can stay focused on priorities while key logistics, communication, and follow-through are handled effectively.

While this role is administrative in nature and includes core executive assistance responsibilities, it is designed for someone with interests and ambitions in growing operational responsibilities over time.

Core Responsibilities

Executive & Leadership Support

  • Manage complex calendars, scheduling, and coordination for the CEO and SLT
  • Prepare agendas, capture key decisions and action items, and track follow-ups from senior leadership meetings
  • Support internal communications on behalf of leadership
  • Coordinate travel, logistics, and scheduling across the CEO and leadership team (including flights, accommodations, and key internal/external meetings)

Leadership Team Operations & Coordination

  • Assist the leadership team in communication across the organization by helping coordinate company-wide updates, meetings, and events
  • Assist in maintaining the corporate calendar and schedule of events
  • Support planning, documentation, and operational rhythms of the leadership team
  • Assist with leadership team and board meeting scheduling, agenda preparation, and  timely distribution of materials

Reporting & Business Insights

  • Support the development and maintenance of leadership team reporting and scorecards (e.g. gathering inputs, formatting and ensuring materials are ready for review)
  • Help build and organize KPI dashboards and internal reporting
  • Engage teams across the company to gather and synthesize relevant business insights for the leadership team

Cross-Functional & Parent Company Coordination

  • Assist with coordination and communication with our parent company, Securitas
  • Identify opportunities to improve processes, organization, and clarity across the business

  • An entry-level candidate with a degree in business administration, operations, management, organizational leadership, or a related field.
  • Exceptionally organized and detail-oriented
  • A strong written and verbal communicator

  • Comfortable using modern tools, including AI, to improve efficiency
  • Able to manage multiple priorities and shift context quickly
  • Highly trustworthy with strong judgment and discretion
