Provide high-level executive support to the CEO: manage complex calendars, travel, board governance, prepare presentations and materials, maintain SharePoint and corporate records, coordinate projects including acquisitions and integrations, improve systems and leverage AI, and support company events and cross-functional initiatives.
As Mosaic’s Executive Support Partner, you’ll work closely with our CEO and broader support team to keep priorities moving, details organized, and great ideas from getting stuck on a to-do list. At the heart of the role is exceptional executive support, but we are looking for someone who brings much more than that!
One day you might be preparing for a Board meeting or coordinating a complicated schedule. The next, you could be helping move an acquisition project forward, researching a new idea, organizing a company event, building a presentation, or being handed something entirely unexpected and figuring out how to make it happen.
This is a work-from-home position with travel throughout Calgary as needed for meetings, events and other Mosaic activities.

The Opportunity
- Executive Support and Coordination: Work closely with the CEO to manage priorities, coordinate a complex calendar, organize travel and meetings, prepare communications and presentations, and ensure important follow-ups don't fall through the cracks.
- Board & Governance: Coordinate Board meetings, prepare agendas and materials, maintain governance records, and track key decisions and action items.
- Projects and Business Initiatives:Support and coordinate a wide variety of projects across Mosaic, including acquisitions, due diligence, integration activities, leadership meetings and company events. Be ready to jump into new projects and priorities as they arise.
- Information & Document Management:Maintain SharePoint, corporate records, legal documentation, templates, and executive resources while ensuring information is organized, accurate, and accessible.
- Continuous Improvement: Support the Mosaic team by improving systems, coordinating priorities, connecting people with information, and creating the capacity that allows our leaders to better support the clinics they serve. Leverage AI and technology to improve efficiency.
The Ideal Candidate
As our ideal Candidate, you have:
- Experience supporting senior leaders in a fast-paced, evolving organization.
- Exceptional organizational and project coordination skills. You know how to keep multiple priorities moving without losing sight of the details.
- Strong judgment and the ability to anticipate needs, solve problems, and take initiative without waiting for every step to be mapped out.
- Outstanding written and verbal communication skills, with the confidence to communicate professionally with people at all levels of an organization.
- A high degree of discretion, professionalism and good judgment when handling confidential or sensitive information.
- Strong Microsoft 365 skills; SharePoint experience is considered an asset.
- Confidence using AI tools and a genuine curiosity about how emerging technology can make work smarter and more efficient.
- The ability to take an idea, question or loosely defined project and figure out how to move it forward.
- A flexible, resourceful mindset and comfort working in an environment where priorities can shift and no two days necessarily look the same.
- A valid Class 5 driver's license.
