Role Summary

The HR Operations Specialist supports the accurate and timely execution of core HR processes across the employee lifecycle, with expanded conceptual knowledge of HR operations, immigration processes, HR systems, policies, and compliance requirements. This role provides operational support to HR Business Partners on data, transactions, and compliance-related needs. Working fairly independently under general supervision, the specialist resolves moderately complex issues, supports immigration case activity, identifies process improvement opportunities, and contributes to the overall effectiveness of HR service delivery.

 - Responsibilities -

Employee Lifecycle Processing

  • Execute timely and accurate transactions for hires, job changes, transfers, compensation adjustments, organizational updates, leaves of absence, and terminations.
  • Maintain employee records and digital files, ensuring accuracy and compliance with internal standards and audit requirements.
  • Partner with Talent Acquisition, Payroll, Benefits, and HRBPs to ensure seamless end-to-end process execution.

Onboarding Support

  • Manage the I‑9 completion and E‑Verify process (if applicable), ensuring compliance with all regulatory guidelines.
  • Administer and facilitate new hire orientation, ensuring a smooth and engaging onboarding experience.
  • Maintain and update the orientation slide deck to ensure accuracy and alignment with current policies and processes.
  • Send new‑hire notification emails to managers, providing key onboarding details and required next steps.
  • Process new hire benefit enrollments and ensure proper setup across all relevant vendor systems.

Immigration Support

  • Coordinate with employees, managers, HRBPs, and external immigration partners to support work authorization processes (e.g., H‑1B, TN, E‑3, PERM, green card stages, OPT/CPT).
  • Gather and validate required documents, employment details, and job information to support case filings.
  • Track case status, monitor expiration dates, and ensure timely renewals or actions to maintain work authorization compliance.
  • Respond to routine questions regarding immigration timelines, status documentation, and required steps while escalating complex matters to legal partners.

Benefit Support

  • Act as the first line of support for incoming benefit questions, providing timely and accurate responses to basic employee benefit inquiries.
  • Enter and maintain employee data across benefit vendor platforms, ensuring accuracy and alignment with eligibility.
  • Process employee terminations in benefit platforms, ensuring coverage end dates and required off-boarding actions are completed accurately.
  • Create, submit, and track purchase orders (POs) for HR vendors in NetSuite, ensuring accuracy, timely approvals, and correct coding.
  • Maintain organized records of vendor invoices, contracts, and PO history to support Finance and audit requirements.

HRBP Support

  • Provide transactional and administrative support to HR Business Partners, including data research, reporting, job/comp change processing, and employee file updates.
  • Prepare documentation for employee relations cases, reorganizations, performance actions, and investigations as requested.
  • Assist HRBPs with data validation, dashboards, and HRIS reporting to enable decisions and insights.
  • Support execution of organization-wide initiatives such as reorganizations, policy rollouts, and workforce changes.

HRIS Administration & Data Quality

  • Enter and validate employee data in the HRIS, ensuring accuracy and adherence to data governance rules.
  • Conduct routine audits to identify discrepancies and implement corrections.
  • Support mass updates and assist with UAT for system releases and enhancements.

Case Management & Employee Support

  • Manage Tier 1–2 HR inquiries, providing clear explanations of HR policies, processes, and system navigation.
  • Resolve moderately complex issues using judgment and precedents; escalate when appropriate.
  • Maintain and update knowledgebase materials to improve employee self‑service.

Compliance & Risk Mitigation

  • Support compliance with federal, state, and local labor regulations, including required documentation and reporting.
  • Assist with work authorization verification and audit preparation.
  • Support internal and external audit activity.

Project Coordination & Process Improvement

  • Coordinate components of HR operational projects, including timelines, documentation, and cross-functional communication.
  • Identify opportunities to streamline processes and recommend improvements.
  • Provide informal guidance to newer team members on established procedures and systems.

- Qualifications - 

Required

  • Bachelor’s degree in HR, Business, or related field, or equivalent experience.
  • Minimum of 2 years in HR Operations, HRIS, shared services, or HR administration.
  • Expanded conceptual knowledge of HR processes, employment law basics, and HRIS workflows.
  • Experience working with HRIS platforms such as ADP, Workday, SuccessFactors, Oracle, or similar.

Preferred

  • Experience supporting employment-based immigration processes.
  • Experience supporting HRBPs or Employee Relations teams.
  • Multi-state or multi-country HR operations experience.
  • HR certification (PHR, SHRM‑CP) is a plus.
Pay Range
$56,600$70,700 CAD
