We are currently looking for a Junior/Intermediate Administrative Assistant to join our Calgary studio. In this role, you will be an active part of the DIALOG Administration team, supporting DIALOG projects, assisting with reception coverage, and contributing to our dynamic, collaborative work environment. You will begin by collaborating with senior administrative team members and gaining hands‑on experience and mentorship. This foundation will support your professional growth as you develop your skills and expertise.
How you will make a difference:
- Administrative Tasks:
- Deliver flexible, reliable, and consistent administrative support to multiple team members
- Manage calendars, correspondence, and travel arrangements
- Manage sensitive and confidential information with tact and discretion
- Update, maintain, and archive electronic files, documents, tracking logs, databases, and reports
- Assist Client Services Coordinator with event coordination
- Project Support:
- Edit and proof documents and presentations including contracts, design packages, agendas and meeting packages
- Assist with formatting letters, fee proposals, and sub-consultant agreements
- Assist Project Managers with resource management data entry
- Reception Coverage:
- Cover lunch breaks and vacations
- Provide an extra set of hands during events and busy periods
Who you are:
- A graduate of a post-secondary administrative program or related discipline is preferred
- Between 2-4 years of administration experience
- Excellent organizational and self-motivation skills
- Ability to proactively make decisions and priority calls with little guidance
- Excellent verbal and written communication skills
- Intermediate to advanced skills in Microsoft Office programs including Word, Excel, Outlook, Teams and PowerPoint
- Must be organized and be able to prioritize, have the ability to multitask
- Ability to work in a team environment and independently is essential
