The Opportunity

An outstanding opportunity exists for an experienced and tech-savvy Marketing Events Specialist within our Marketing, Business Development and Communications Team. The role can be located in our Los Angeles or Orange County office and will support the logistics of business development, marketing and client-deliverable initiatives across the country.

The events team develops and coordinates approximately 40 firm-produced events, 40 marketing webinars, 50 client-deliverable programs, and over 200 outside-sponsored events and memberships each year. As a part of the marketing team, the Marketing Events Specialist will support all event types, including high-end client receptions/dinners, educational workshops and webinars, and internal retreats, with a focus on technology, building and tracking campaigns in Salesforce, Pardot and Swoogo.

This position reports to the Marketing Events Manager.

Responsibilities:

  • Liaise with Marketing Technology team to ensure highest and best use of events software, including managing integrations between platforms such as Salesforce, Tableau, Pardot, Zoom, Swoogo, SurveyMonkey, and CalendarAnything. Review and recommend updates as needed.
  • Independently manage Swoogo microsite development for firmwide and select hosted events, allowing for capturing critical and accurate data from attendees for a seamless planning and attendee experience.
  • Maintain Salesforce database and event reports for business development and marketing use, ensuring accuracy of campaigns members and data hygiene, including inputting campaign (event/initiative) details and tracking pending and approved campaigns; adding campaign members, final attendee lists and concise event and deliverable/benefits descriptions; and generating reports.
  • Develop and maintain detailed process documents for use in building microsites, in development of client-deliverable programs, and for Salesforce trainings.
  • Coordinate logistics for events including planning timelines, communications, RSVPs and list management. Assume on-site management for some client meetings; organize staff, speakers and materials; ensure all agenda timelines are met; assist and direct AV and crew with setup and breakdown of major events.
  • Work closely with business development, technology/branding/graphic services, senior leadership, accounting, office administration and facilities to ensure internal and external client satisfaction.
  • Lead client-deliverable virtual and hybrid events from A to Z, as well as develop nuanced and logic-based surveys, including setting up and monitoring Zoom and SurveyMonkey infrastructure. Maintain best practices by client/program type, tracking time in timekeeping software.

QUALIFICATIONS

  • Bachelor’s degree from an accredited college/university with major coursework in hospitality management, business management, marketing, technology or related field preferred.
  • Proven experience in Salesforce and event technology platforms required.
  • Must be highly organized and have a high energy level, exceptional attention to detail, excellent problem-solving skills, a results-focused approach and outstanding project management skills. Position requires constant attention to precise details and accuracy of specified standards.
  • 5+ years in an event or tech coordination role and a demonstrated ability to multitask and work under pressure, juggle multiple projects, and prioritize competing needs.
  • Position requires constant use of interpersonal skills including the ability to foster collaboration and effectively communicate both in writing and verbally with clients and stakeholders.
  • Computer skills in Microsoft Office applications and proficiency in word processing, spreadsheets, databases and presentations.
  • Positive, can-do, team-oriented attitude
  • Work in-office three days per week (Tuesday, Wednesday and Thursday) and more as needed; willing to work overtime and weekends as needed
  • Able to complete all duties with a superior quality and service focus through teamwork, dedication, and a results-oriented, solid work ethic.

The base annual pay range for this role is between $75,000 - $95,000. The base pay to be offered will vary and depend on skills and qualifications, experience, location and will also take into account internal equity.  A full range of medical, financial and/or other benefits dependent on the position will also be offered.
