We are looking for a self-starting and personable People Services Support Coordinator for our Head Office to be based out of our Calgary branch and provide human resources support to our People Services team, as well as our employees!

A Day in the Life:

  • Assist with employee onboarding/ offboarding processes which includes equipment return process
  • Respond to and process verification of employment requests: for example, background Checks: with AccurateNow and DISA random drug testing.
  • Coordinate employee milestone awards
  • Prepare letters of employment and employment verifications
  • Administer employee onboarding/ offboarding processes for HIPPA, I-9 and E-Verify
  • Assist with planning and facilitation of employee engagement and community impact activities
  • Offboarding: Handle equipment return, benefit shut off, system update, and access shut off for voluntary terms.
  • Benefits Administration & Invoicing: Keep up to date with active employees and manage invoicing for various providers including Cigna, Delta Dental, EyeMed, Reliance, Selerix, Alerus, Benefit Card Funding Request (ALERUS)
  • Assist employees with benefits open enrollment and Qualifying Life Events
  • Employee Assistance: Assist employees with ad hoc requests, like updating their HSA, FSA, or 401k deductions.
  • Employee Dependent Audits: Conduct monthly dependent audits in Selerix to remove child dependents turning 26.
  • Assist employees in understanding vacation, sick, and holiday time off policies
  • Annual Reporting: Prepare and submit annual reports for ACA and 401k, work with tech team to pull report and submit
  • Benefits Billing Reports: Send benefits billing reports to payroll monthly for all employees and weekly for new hires.
  • Generate, distribute, and maintain routine and ad hoc reports to appropriate stakeholders
  • Assist with putting data together for branch events such as General Meetings, Operational Reviews, Quarterly People Reviews, etc.
  • Other general duties as assigned that come up on an as-needed basis

What You Bring:

  • 1+ years’ experience in an administrative support role
  • Exceptional attention to detail 
  • Demonstrated ability to forge and maintain effective and influential working relationships
  • Working knowledge of Microsoft Office, including Excel and Word
  • Excellent written and verbal communication skills
  • Passion for helping others and creating a great employee experience
  • Ability to handle multiple priorities and respond to stakeholders with a sense of urgency
  • Great work ethic
  • Initiative and drive to see tasks through to completion
  • Strong organizational skills
  • Comfort working in a flexible and agile environment
  • Demonstrable sound judgment as well as confidentiality as needed
