As a Proposal Specialist, you will play a key role in positioning Canacre for new project opportunities. You will be responsible for managing the full lifecycle of proposals—including RFP, RFQ, RFI, and SOQ submissions—working closely with subject matter experts, business development leads, sales professionals, and executive leadership. Your expertise in proposal coordination, content development, and compliance will support strategic pursuits across North America.
 

Key Responsibilities

  • Lead the end-to-end coordination, development, and submission of high-quality proposals.
  • Collaborate with internal stakeholders—including technical subject matter experts, project managers, sales teams, and senior leadership—to gather content and align on win themes and strategy.
  • Analyze solicitation documents (RFPs/RFIs/RFQs) to determine requirements, develop compliance matrices, and guide the proposal process accordingly.
  • Write and edit compelling, customized content for non-technical proposal sections such as executive summaries, project descriptions, resumes, and corporate capabilities.
  • Coordinate proposal kick-off meetings, timelines, and deliverables across cross-functional teams.
  • Ensure all submissions comply with client instructions and Canacre standards for branding, formatting, and quality.
  • Support content development and revisions with technical writers, graphic designers, and production staff.
  • Liaise with external partners and subcontractors to gather and integrate required information.
  • Generate leads through procurement portals and RFP inboxes (e.g. Merx, Biddingo, Bids &Tenders, etc.)
  • Support supplier registrations and associated RFP/procurement portals. Track and monitor proposal outcomes and feedback to support continuous improvement.
  • Maintain and update Canacre’s proposal content library and CRM records related to pursuits.

Qualifications

Education:

  • Bachelor’s degree in business administration, communications, English, environmental sciences, or a related degree or technical field. Equivalent experience will also be considered.

Experience:

  • Minimum 5 years of proposal coordination or proposal writing experience in a professional services, engineering, environmental, or infrastructure setting.
  • Proven ability to manage complex, deadline-driven proposal efforts.
  • Experience working collaboratively with technical teams and leadership.
  • Familiarity with procurement platforms (e.g., Merx, Biddingo, Bids & Tenders) and CRM systems (Salesforce preferred).
  • Excellent writing, editing, and proofreading skills with a focus on clarity, structure, and persuasiveness.

Skills:

  • Strong attention to detail, organization, and time management.
  • Ability to manage multiple proposals simultaneously and meet tight deadlines.
  • Comfortable facilitating meetings, assigning responsibilities, and driving accountability.
  • Proficiency in Microsoft Office Suite; experience with Google Earth (KML/KMZ) or AI writing tools is an asset.
  • Ability to work independently and as part of a high-performing team.
