Job Description

CEDA is looking for a Proposals and Contracts Coordinator to support our operations teams through proposal development and ongoing contract administration. Based in Edmonton or Calgary, AB, this role is a great opportunity for someone who enjoys working across multiple teams, managing competing priorities, and playing a key role in bringing proposals and contracts together.

Key Duties & Responsibilities:

  • Own existing customer contracts as the go-to person, working with clients to administer change requests, communicate contractual entitlements, and facilitate the approval process
  • Provide guidance on contract language, review amendments, and help operations teams navigate contractual and change management requirements
  • Keep contract changes on track by maintaining accurate records and ensuring operational requirements are reflected in existing contracts
  • When an RFP comes in, help bring it all together by reviewing requirements, coordinating deliverables, and working with service lines and internal stakeholders to gather the information needed for a strong proposal
  • Take the lead on internal RFP meetings, keeping everyone aligned on proposal content, timelines, and deliverables while ensuring submissions are complete and accurate
  • Work closely with operations to review estimates and coordinate, prepare, and submit service line quotes for RFPs and ad hoc requests
  • Support client-facing activities when needed, including responding to clarifications and ensuring contract and proposal expectations are communicated clearly
  • Balance competing priorities and tight deadlines while maintaining the confidentiality and integrity of sensitive contract and proposal information

Role Specifications:

  • 5+ years of related work experience, including a direct role coordinating within a proposals team or handling proposals in support of an established operations team
  • 2+ years of experience in contract administration
  • Proficient in Microsoft Office, including:
    • Excel: Basic administration within existing templates and formula writing where applicable
    • Word: Formatting tables, paragraphs, headers/footers, tables of contents, and maintaining branded document templates
  • Experience working with multiple operational teams or service lines is an asset
