About the Role

We’re looking for a highly organized, detail-oriented Recruiting & Operations Coordinator who will take full ownership of our end-to-end interview coordination and play a critical role in keeping our recruiting engine running smoothly as we scale. This role is perfect for someone who thrives in fast-paced environments, is exceptionally proactive in communication, and takes pride in delivering an outstanding candidate experience while ensuring operational excellence behind the scenes.

Key Responsibilities

  • Own end-to-end interview scheduling for all roles, including technical rounds and take-home assignments.
  • Serve as the primary candidate point of contact with clear, timely communication.
  • Lead onsite interview logistics, including room setup, interviewer prep, and candidate hosting.
  • Monitor communication from candidates and interviewers and act quickly to keep processes moving.
  • Maintain accurate ATS data, including status updates, tagging, documentation, and requisition cleanup.
  • Support compliance, data accuracy, and consistent record keeping.
  • Create and update process guides, checklists, and templates.
  • Partner with recruiters to streamline workflows and improve recruiting operations.
  • Assist with logistics, materials, and follow-ups for recruiting events.
  • Collaborate with hiring managers and interviewers to ensure alignment and readiness.
  • Support additional recruiting and people operations tasks as needed in a fast-paced environment.
Preferred Attributes
  • Extreme ownership mindset — full responsibility for schedules, communications, and outcomes
  • High responsiveness and urgency — you act immediately on scheduling needs; deadlines are “now/asap”
  • Strong attention to detail
  • Clear, confident communicator who can coordinate across candidates, recruiters, and hiring teams
  • Comfort in fast-changing environments with multiple priorities in motion
  • Proactive problem-solver who anticipates issues before they occur
Preferred Qualifications:
  • 1- 2 years of experience with scheduling tools, calendar management, or ATS systems (Green House, Ashby, or other ATS systems)
  • Experience supporting technical recruiting processes and familiarity with common technical interview formats (coding exercises, take-home challenges, technical screens, and system design rounds).
