Our Global Workplace Team includes Real Estate, Physical Security, Risk, Workplace Operations and Travel. We play a key part in the employee experience at Wise, through our curated spaces, services and events. Our mission is to create and maintain a safe and inspiring workplace for Wisers to achieve the Mission. 

We’re looking for a passionate and people-centric Workplace Operations Lead to join us. Based at our Austin office, you will help us to create a customer focused workplace experience, manage day-to-day operations and lead the regional workplace team in The Americas region. You will form part of the Workplace Leadership team and report directly to the VP, Global Workplace.

Qualifications

Your mission:

Facilities Management:

  • Ensure all of our offices provide a welcoming arrival experience for all employees and visitors while maintaining the necessary level of building security.

  • Work closely with internal stakeholders by gathering feedback about business needs to ensure our workplace supports Wisers.

  • Ensure that the buildings in your region are fully operational and processes are running efficiently.

  • Ensure regular building walkthroughs to address building maintenance issues, pre-empt potential risks before they arise are identified and improvement areas are acted upon by local teams

  • Ensure reactive and preventative maintenance programs are in place to support smooth running of the offices.

  • Be accountable for the [Region’s] office’s operational expenditure budget, including quarterly forecasting and monthly reconciliations to actuals. 

  • Identify opportunities for cost optimisation and vendor rationalisation to get us closer to achieving Mission Zero.

As a Regional Manager, you are working closely with Regional Leads and local Workplace Managers to ensure offices are maintained and aligned with our global standards. 

  • Oversee and make sure local workplace vendors are managed by the site teams and that all commercial contracts are in place and being reviewed periodically.

  • Ensure our office space is clean by creating and developing workplace etiquette guidance.

  • Ensure our food and beverage offerings meet our quality and presentation standards both locally and regionally.

  • Build relationships with our employee community and proactively gather feedback, so the Workplace Team can anticipate their needs before they arise and deliver outstanding customer service. 

  • Work closely with Internal Communications, Employer Branding and other functions for best communication practices for weekly updates, incl building management, events, etc.

  • Ensure building-specific operational requirements are met for each event such as health and safety, technical setup, and site logistics.

Workplace Strategy:

  • Develop and implement workplace operational strategies aligning with company goals and values by taking part and providing input to half-yearly planning for the Workplace Leadership Team. 

  • Provide leadership and direction to regional workplace teams, fostering a culture of excellence, safety, and innovation.

  • Hire and onboard members of the Workplace Team, ensuring they have the tools and training necessary to succeed in their roles.

  • Collaborate with the Workplace Leadership Team to forecast and manage regional needs, resources, and initiatives.

  • Promote industry best practices to your team around workplace experience, hospitality, operations by staying up to date with latest innovations and trends within the industry. 

Other

  • Lead the local People Team Community by partnering up with other People Leads in the region, ensuring we are working as one team.

  • Work closely with the Head of Real Estate operations for periodic review and revision of base building documents, lease information, asset registers and floor plans to ensure they are up to date.

  • Work closely with the Head of Physical Security & Risk team to ensure all sites are safe and operational.

  • Partner with the Workplace Projects Team and provide subject matter expertise to local projects and initiatives.

  • Promote workplace sustainability and help us to achieve our goal of net zero carbon by 2030.

  • Gather workplace data and review against KPIs (e.g. NPS: net promoter score), suggest and implement plans or OKRs to drive continuous improvements. 

A bit about you:

  • Demonstrable experience in an facilities or workplace focussed role with at least 8 years experience

  • Fluent in English, both verbal and written.

  • Capable of leading, coaching and being a great role model to a team.

  • Experience in hyper-growth companies, managing change and leading initiatives to promote efficient ways of working within the team. 

Must have:

  • Demonstrable financial and data literacy experience including budget management.

  • Excellent interpersonal and networking skills.

  • Strong verbal and written communication skills.

  • Great organization, multitasking and problem-solving skills.

  • Continuous improvement mindset, with the ability to think ‘big picture’.

  • Strong working knowledge of H&S legislation within the Region.

Some extra skills that would be awesome:

  • Knowledge of workplace health and safety legislation and ergonomics.

  • Proficiency in excel, google suite and slack software tools.

  • Passion and understanding of entrepreneurial, start-up or tech communities.

  • Member of IWFM or similar
