Arcadia is seeking an experienced and detail-oriented RFP Analyst to manage and respond to complex Requests for Proposals (RFPs). In this critical role, you will oversee the full lifecycle of RFP responses, ensuring alignment with Arcadia's strategic goals and market positioning. This role demands a professional with a proven ability to navigate challenging RFP requirements, synthesize input from cross-functional teams, and produce polished, persuasive proposals. Working closely with Product, Marketing, and Sales, you will ensure each submission showcases Arcadia’s capabilities while meeting tight deadlines in a high-pressure, fast-paced environment. The ideal candidate thrives in complexity, exhibits superior project management skills, and demonstrates the ability to translate technical information into compelling narratives.


What Success Looks Like

In 3 months

- Develop a foundational understanding of Arcadia’s product suite, value proposition, and key market differentiators

- Build initial relationships with key subject matter experts (SMEs) across Product, Marketing, Sales, and Solution Engineering teams

- Familiarize yourself with Arcadia’s tools for RFP creation and enablement, including Tribble, Salesforce, and the Arcadia Learning Management System (LMS)

- Begin contributing to RFP projects by supporting project management and content creation under the guidance of the lead RFP manager

- Successfully complete the first round of the product certification program, focused on foundational product knowledge and company overview


In 6 months

- Take on greater ownership of RFP tasks, contributing to proposal development with minimal supervision

- Collaborate with Marketing and SMEs to update and optimize RFP content in Tribble, ensuring responses are aligned with Arcadia’s messaging and current capabilities

- Actively support Sales Directors in deal strategy discussions, including solution development and pricing input, in partnership with Solution Engineers

- Progress through intermediate levels of product certification to deepen knowledge of Arcadia’s technical capabilities and use cases


In 12 months

- Independently manage the end-to-end RFP process for multiple opportunities, ensuring timely and high-quality submissions

- Lead initiatives to improve RFP content quality, including identifying gaps, updating templates, and optimizing workflows for efficiency

- Serve as a go-to resource for RFPs, RFIs, and ad hoc sales support, demonstrating a strong grasp of Arcadia’s value and differentiation

- Play a key role in increasing RFP win rates by refining response strategies and elevating overall proposal quality

What You'll Be Doing

  • As the RFP Analyst, you will oversee and drive Arcadia's proposal process, ensuring high-quality, competitive, and timely submissions that position Arcadia for success
  • Responsibilities include:

    RFP Process Ownership:

  • Leading the end-to-end Request for Proposal process, including opportunity qualification, proposal planning and scoping, drafting and editing, clarification requests, and post-submission follow-ups
  • Collaborating closely with Legal, Marketing, Finance, Operations, Product teams, and other subject matter experts (SMEs) to gather, validate, and synthesize information needed for winning proposals
  • Supporting Sales Directors in developing proposal strategies, crafting competitive pricing models, and identifying key differentiators for prospective clients
  • Content Development and Management:

  • Crafting and editing high-impact proposals, bids, quotes, and related documentation that effectively highlight Arcadia’s products, solutions, and services in response to prospective client needs
  • Customizing responses to align with specific client requirements and use cases while maintaining consistency with Arcadia's messaging and value proposition
  • Managing and optimizing Arcadia’s RFP response software (Tribble) to ensure a centralized, efficient, and well-maintained repository of RFP content
  • Developing responses that incorporate new product offerings, evolving industry trends, customer challenges, and market changes to craft compelling narratives
  • Quality Assurance:

  • Managing multiple projects simultaneously while ensuring accuracy, clarity, and consistency in messaging, pricing methodology, and presentation
  • Conducting comprehensive reviews of proposal documents to verify compliance with client expectations, RFP requirements, and internal standards
  • Maintaining strict adherence to submission deadlines and quality benchmarks, with an unwavering focus on detail and precision

What You'll Bring

  • A BA/BS degree in Business Administration, Marketing, Healthcare Administration, Public Health, or related fields
  • 3+ years of experience in a high-performing sales organization, preferably in healthcare technology or value-based care
  • Exceptional writing skills, with the ability to adapt messaging for diverse stakeholders in healthcare
  • Proven organizational skills, with experience managing multiple priorities in a deadline-driven environment
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint) and adaptability to learn other tools
  • Must thrive on the excitement and challenge of being on a lean and busy team
