We serve the province’s education, enterprise, research and government sectors.

Cybera is leading ground-breaking services that are changing the way education works. One of the key areas is managing shared procurement services and collaboration for our members on a bi-provincial (Alberta and Saskatchewan) level through the ShareIT Program. This program leverages economies of scale to give members access to IT hardware, software, licensing, and services that are broader, more powerful, and cost-effective. The ShareIT Project Lead will play a pivotal role in the success of the ShareIT program and the operations team. This individual would serve as a focal point for identifying, planning, coordinating, and executing ShareIT procurement projects, ensuring they are delivered on time, within scope, and with effective stakeholder engagement. The Project Lead must bring a high level of independence, judgment, and expertise in managing complex, multi-stakeholder procurement initiatives, and supporting long-term strategic outcomes for ShareIT members across both provinces. This role requires the ability to lead multiple concurrent initiatives, foster collaboration across diverse teams, and navigate public-sector procurement frameworks with confidence.

The ideal candidate will be self-motivated and have excellent communication, analytical, research, problem-solving, and planning skills. The workload is highly dynamic and, consequently, the individual must possess great flexibility and the ability to meet tight deadlines under short notice.

We will ask you to: 

Project Leadership and Delivery

  • Collaborate with stakeholders in the public sector to define project implementation approaches, scope, and direction.
  • Develop detailed project schedules including tasks, resourcing, effort levels, durations, and dependencies.
  • Create and manage project documentation such as project charters, statements of work (SOW), sourcing documentation, vendor agreements, and business cases.
  • Ensure that project tasks and deliverables adhere to the approved Statement of Work and Project Plan.
  • Monitor and control scope to prevent scope creep; adjust plans and documentation as needed.
  • Coordinate the timely execution of major milestones, approvals, sign-offs, and implementation activities.
  • Track, monitor, and follow up on weekly action items and deliverable progress.

Procurement Strategy and Execution

  • Lead and manage shared procurement initiatives from opportunity identification through to contracting.
  • Conduct market, cost-benefit, and risk analyses for IT hardware, licensing, software, and services.
  • Investigate services and procurement models used in other jurisdictions to inform ShareIT strategy.
  • Ensure member institutions are engaged and opt-in to procurement initiatives through proactive communication and relationship-building.
  • Establish and manage working groups of technical subject matter experts to gather requirements and validate project scope.
  • Develop sourcing documents for open, competitive bidding processes.
  • Review vendor submissions and contractual documentation to ensure alignment with ShareIT goals.
  • Identify contractual risks and recommend mitigation strategies.
  • Lead vendor evaluations, facilitate selection processes, and negotiate master service agreements.
  • Provide debriefings to unsuccessful proponents, as required.

Member Engagement and Stakeholder Coordination

  • Maintain strong, professional relationships with ShareIT members and external stakeholders.
  • Facilitate and promote professional development and training opportunities for ShareIT members.
  • Effectively engage remote and hybrid groups through virtual facilitation and video conferencing.
  • Represent ShareIT in meetings and external engagements to communicate program priorities and progress.

Operational Planning

  • Develop high-level plans, and feasibility studies to inform long-term ShareIT initiatives.
  • Track and report on performance metrics and program data to identify key trends, risks, and opportunities.
  • Support continuous improvement of services and contracts through feedback loops and lessons learned.

Your professional tool-kit should include:

Education and Experience:

  • Post-secondary education in business analysis, project management, supply chain, communications, or equivalent.
  • PMP certification is an asset.
  • Minimum three years managing IT or procurement-related projects.
  • Proven ability to produce a variety of communication products (presentations, reports, SOWs, etc.).
  • Experience with remote facilitation, group management, and hybrid collaboration tools.
  • Demonstrated negotiation and vendor management experience.
  • Working knowledge of public and competitive procurement processes, policies and procedures is an asset.
  • Experience in data reporting and analyses.
  • Ability to interact and deal effectively with key stakeholders at all levels.

Skills:

  • Demonstrated skills in the use of project management approaches.
  • Proven time-management and organizational skills; able to work both independently and collaboratively.
  • Ability to work in a member-driven, decentralized environment as a part of a small office team.
  • Ability to maintain flexibility and openness in a rapidly changing environment.
  • Ability to communicate effectively and persuasively with team members, collaborators, and clients, with sensitivity to the level of technical communication appropriate to the task and audience.

Nice to Have:

  • Experience within the non-profit, education, higher education, and/or municipal sectors.

Other:

  • Occasional travel required to attend conferences, meetings, working groups, and on-site visits across various locations in Alberta, Saskatchewan, and other provinces as required.

Compensation and Location:

This position is based in Calgary or Edmonton. Salary will be commensurate with experience. No relocation costs will be awarded.
