We are seeking a detail-oriented and proactive Order Management Specialist to join our Operations team. This role sits at the heart of our fulfillment process, where you will ensure every order moves smoothly from placement to delivery, managing exception handling and producing accurate operational reporting. By acting as the central communication link between our warehouse, customer service, finance, and logistics partners, you will directly impact our efficiency and customer satisfaction.

What You’ll Do
  • Own the day-to-day management of the order book, maintaining a clear view of all orders and producing regular reports on fulfillment rates, shipment progress, and order evolution.

  • Monitor order flows closely to identify delays, exceptions, or operational risks, taking immediate action to resolve issues before they escalate.

  • Act as the primary cross-functional liaison, aligning with Warehouse, Customer Service, and Finance teams to resolve order discrepancies and manage customer expectations proactively.

  • Maintain absolute data accuracy within the company's ERP and order management systems, ensuring records are up-to-date at every stage of the lifecycle.

  • Analyze order data to identify bottlenecks, surface actionable insights, and support continuous process improvement initiatives to increase fulfillment efficiency.

What You’ll Bring
  • Proven experience in order management, logistics, or operations, with a strong understanding of end-to-end fulfillment processes.

  • Proficiency in working with ERP systems and order management software, alongside advanced skills in building data trackers or dashboards.

  • Exceptional cross-functional communication skills, with the ability to collaborate effectively across warehouse, customer service, and finance departments.

  • Strong analytical and problem-solving abilities, with a sharp eye for detail and the capacity to handle order exceptions calmly and quickly.

  • A proactive, growth-oriented mindset that aligns perfectly with PERGOLUX's values

  • Fluency in English (written and spoken) is required
