We are looking for a highly organized, detail-oriented, and people-focused Candidate Experience & Recruitment Specialist to support the success of our domestic and international recruitment initiatives.

Reporting to the Team Leader, Clinical Recruitment, your primary focus will be candidate coordination and ensuring a seamless recruitment journey from first contact through successful relocation and settlement. You will support candidates through interview scheduling, documentation follow-up, guidance on licensure and immigration pathways, relocation planning, settlement preparation, and transition to employment in Canada.

This role is centered on creating an outstanding candidate experience while keeping recruitment processes organized, efficient, and well-coordinated. You will work closely with internal and external partners, as well as candidates across multiple international regions and time zones, while operating within Canadian business hours, to ensure successful hiring outcomes.

You will also help maintain clear workflows, internal guides, and candidate resources that create consistency across recruitment, relocation, settlement, and onboarding processes. As a Talent Acquisition Operations Specialist, you will act as a Medavie ambassador, strengthening our employer brand and ensuring every candidate experiences a professional, supportive, and well-organized transition into their new role.

Key Responsibilities

  • Coordinate end-to-end candidate communication throughout the recruitment, relocation, and settlement journey, ensuring timely follow-up, clear guidance, and a positive candidate experience.

  • Manage candidate applications, track pipeline progression, and maintain accurate recruitment data to support hiring decisions and workforce planning.

  • Schedule and manage interviews across multiple time zones while aligning candidates, hiring managers, and internal stakeholders to support an efficient hiring process.

  • Liaise with internal and external partners to support candidate relocation, settlement, and successful transition to living and working in Canada.

  • Process Documentation & Operational Excellence

  • Develop and maintain clear recruitment workflows, internal guides, candidate resources, and operational documentation to support consistency and efficiency across talent acquisition activities.

  • Create and update standard operating procedures (SOPs), process handbooks, and tracking tools to ensure smooth execution of recruitment, relocation, and settlement processes.

  • Identify opportunities for process improvement, stronger organization, and operational efficiency to enhance team performance and candidate experience.

  • Maintain accurate records, monitor deadlines, and support alignment of recruitment activities with business priorities and workforce planning needs.

  • Stakeholder Collaboration & Recruitment Projects

  • Collaborate with hiring leaders, HR Business Partners, and operational teams to support recruitment planning, hiring execution, and workforce needs.

  • Support domestic and international recruitment initiatives, including hiring campaigns, university roadshows, recruitment missions, and other talent attraction activities.

  • Deliver candidate information sessions, webinars, and recruitment presentations to provide clear guidance on recruitment processes, relocation pathways, and transition to living and working in Canada.

  • Support recruitment events and relationship-building efforts with universities, schools, event organizers, and industry partners to ensure successful recruitment initiatives and strong candidate engagement.

What You Bring

  • Bachelor’s degree or diploma in Business, Human Resources, Administration, or a related field, or equivalent professional experience.

  • 3–5 years of experience in supporting domestic and international recruitment processes, including relocation, settlement, onboarding, immigration, licensure, credential validation, or other complex hiring pathways is considered a strong asset.

  • Experience in talent acquisition operations, recruitment coordination, HR operations, project support, or a similar role within a fast-paced environment.

  • Experience developing process documentation, SOPs, workflows, and operational guides to improve efficiency, consistency, and candidate experience.

  • Strong proficiency in recruitment systems and operational tools such as Workday, LinkedIn Recruiter, ATS platforms, and Microsoft Office Suite (Excel, Word, PowerPoint).

  • Comfortable navigating, implementing, and improving recruitment technologies, tracking systems, reporting tools, and process workflows to support operational excellence.

  • Strong writing, documentation, and presentation skills, with the ability to create clear resources and confidently lead webinars, information sessions, and candidate-facing presentations.

Pay Range: 61,221 - $76,526 CAD

The Base Pay range may vary depending on the successful candidate or other relevant job-related factors such as knowledge, skills, qualifications, experience and education/training. In addition to Base Pay, eligible Medavie employees may participate in various performance-based incentive programs.
