About the Position:
The successful candidate will work as part of a team in conjunction with other Project Managers to assist with various client service activities. You will also work in a safe manner in accordance with the ALS Health and Safety Program.

Specific Responsibilities

  • Carry out login checks for all files logged in (including verifying account numbers, client contacts, sample identifications, dates/times, job reference numbers, PO’s, SPO’s, COC attachments, lab products, special reporting requirements, etc.);

  • Adding/updating login qualifiers on work orders;

  • Maintain and update client account information and notes, including new account set-up;

  • Quote creation and updating in LIMS;

  • Assisting with invoicing as required (invoice corrections, monthly invoicing, etc.)

  • Provide support for Invoicing Administrators and Project Managers – includes invoice follow-up and posting of invoices to client online systems (e.g. ADP Open Invoice, Cortex, ARIBA, etc.);

  • Prepare/enter client bottle requests for Shipping;

  • Miscellaneous filing of client information (e-mails, etc.);

  • Shipping confirmation (i.e. ensure new shipments & return shipments have been sent and/or received);

  • Process requests for information;

  • Coordinate sublet tests, verifying statuses, entering sublet data, attaching sublet data to final report;

  • Data entry for any client provided or field parameters;

  • Assist with the preparation and coordination of due lists for Project Managers;

  • Assist with reviewing the status of data (i.e. rush, recheck, missing, held, etc.);

  • Tracking of lost, missing, archived, or ‘on hold’ samples;

  • Assist in Sample Login/Layout and Sample Reception as required;

  • Use correct methods in accordance with the established procedures and schedules while ensuring analytical quality;

  • Observe established safety regulations and comply with all ALS health and safety policies and procedures;

  • Other duties as assigned.

Required Knowledge, Skills & Abilities

  • Excellent customer service skills;

  • Positive and energetic outlook;

  • Demonstrated time management skills;

  • Proven ability to work under pressure;

  • Organized, detailed oriented and able to work independently;

  • Excellent English communication skills (written and verbal);

  • Proficient computer skills – Microsoft Word and Excel.

Required Qualifications

  • High school graduation required;

  • Some environmental laboratory experience would be an asset;

  • Training will be provided.

Physical Demands

  • Manual dexterity to perform intricate and/or repetitive tasks;

  • Ability to stand for up to a full shift;

  • Ability to sit at a desk and do general office work, which includes periodic sedentary responsibilities;

  • You may be exposed to unpleasant fumes;

  • Please note that ALS operates 24/7 and will require day, afternoon, and graveyard shift work including weekends.

  • An estimated hourly pay of $25.09 CAD at the time of posting. Individual compensation is determined by factors such as job-related skills, relevant experience, education and/or training.
