The Opportunity

TC Energy is seeking an experienced Executive Administrative Assistant to support the Vice President, Law and Corporate Secretary. The successful candidate will be responsible for complex and confidential administrative assignments requiring a high level of professionalism, sense of urgency, and strong attention to detail.

The Executive Assistant will have interaction with internal and external stakeholders, external agencies, the public, external service providers, and must demonstrate a collaborative approach. Applicants interested in this opportunity must be comfortable working in a deadline-driven environment with constantly changing priorities.

What you’ll do

  • Provide proactive administrative support, including managing calendars, booking appointments, time recording and preparing expense reports for the Vice President, Law and Corporate Secretary, the Director, Corporate Secretarial & Finance Law and other legal counsel as needed

  • Manage all forms of information and maintain electronic and hard copy legal files using department and company document management processes

  • Coordinate and oversee Law and Corporate Secretary department overall budget processes, monitor budgetary expenses and prepare department budget forecasts and variance reporting. Collaborate with budget coordinators at Director level to complete forecasts and train new budget coordinators as necessary

  • Manage forms of external legal retainers and provide analysis, input and reports on matters relating to external legal services using legal-specific systems

  • Prepare, format, and coordinate documents and reports and presentations using PowerPoint, internal databases, and external resources for internal and external audiences

  • Prepare or assist in the preparation of legal documents, including certificates of incumbency, disclosure documents, legal entity organizational charts and correspondence

  • Coordinate daily office administrative duties (mail, deliveries, filing, etc.) and plan and organize events as required for the legal department

  • Assist in the management of routine workflows various processes for the department, including organization and position management (utilizing Workday, SAP and department software suites for requests and information management), department moves and office planning, and the onboarding and offboarding of team members

  • Track and follow up on action items, invitations, correspondence and documents for signature

  • Review, develop and implement departmental administrative processes and training on systems (including where applicable for new and less experienced associates)

  • Handle highly sensitive and confidential information and issues in an appropriate and professional manner

  • Other tasks as required

Minimum Qualifications

  • A minimum of eight (8) to ten (10+) years of related work experience with increasing levels of responsibility with experience at the Executive Administrative level

  • High school diploma or post-secondary certification in administration from a recognized institution

  • Experience supporting senior executives in a fast paced, dynamic environment

  • High degree of professionalism, excellent communication skills, and the ability to maintain confidentiality

  • Understand business priorities and proactively anticipate needs

  • Sound judgment and the ability to work independently with little direction 

  • Proven organizational, planning, prioritization, scheduling and time management skills

  • Ability to work and communicate comfortably and effectively at all levels of the organization

  • Possess tact and diplomacy while working positively with others

  • Strong attention to detail and accuracy, resourceful, able to solve problems and find solutions to meet department needs

  • Expert in the use of MS Office (PowerPoint, Excel and Word)

  • Ability to represent TC Energy effectively to external parties

  • Proven interpersonal skills

  • Excellent written, proof reading and editing skills

  • Proactive, takes initiative, and is creative at identifying process improvement opportunities

  • Strong business acumen

  • Ability to work extra hours as needed.

Preferred Qualifications

  • Bachelor's degree from an accredited college or university

  • Energetic individual who is a self-starter, has a willingness to help the team and an ability to learn and adapt quickly

  • Ability to use unconventional approaches to solve problems when standard approaches are not effective

  • Takes pride and keenly cares about quality of work.
